Job Functions

As Human Resource Coordinator, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Duties and Responsibilities


  • Assists in the implementation, and administration of Human Resource policies and procedures to ensure compliance, also ensures policies and procedures are consistently and fairly applied to all employees across multiple care centers.

  • Maintains personnel files in compliance with company standards and applicable state and federal guidelines across multiple care centers.

  • Advises managers, supervisors and employees on human resource policies across multiple care centers.

  • Provides information and consultation regarding employment issues (i.e. transfers, promotion/demotion, etc.) across multiple care centers.

  • Maintains accurate employment records and files across multiple care centers.

  • Enters all new hire I-9s into E-Verify federal database and maintains Center’s I-9 binder across multiple care centers.

  • Initiates and conducts employee background checks, OIG verifications, license/certification verifications, reference checks and completing employment verifications across multiple care centers.

  • Manages the Worker’s Compensation and Safety Program at the facility level across multiple care centers.

  • Responds to unemployment claims & filing appeals across multiple care centers.

  • Manages and tracks WLB, VHS, PTO/EIB and FMLA requests and paperwork received across multiple care centers.

  • Assists with the training of other HR Coordinators across the region as needed.

  • Managing additional care centers during HRC vacancies and as assigned

  • Collaborates with Regional Director of Employee Relations to assist in roll out of any new HR initiatives and programs as needed.

Employee Relations

  • Assists departments with personnel/payroll related inquiries; advises and assists on current departmental HR procedures related to employee records; coordinate employee engagement activities and act as liaison between departments and staff across multiple care centers.

  • Provides day-to-day performance management guidance to employees and managers; creates performance management documentation of such across multiple care centers.

  • Assists with the effective and thorough investigations of employee complaints and employee relations issues across multiple care centers.

  • Assists in the development of employee reward and recognition efforts across multiple care centers.

  • Oversees the employee on-boarding process to include New Hire Orientation, assimilation into the Company’s culture, mission and core values across multiple care centers.

  • Assists in the preparation and review of all employees corrective counseling documentation across multiple care centers.

  • Manages unemployment compensation (UC) program at the facility level across multiple care centers, representing the Company at UC hearings.

Payroll Processing

  • Responsible for the timely entry of new hires, pay rates, pay status changes and termination information of all employees into the Center’s payroll and timekeeping systems across multiple care centers.

  • Reviews and imports employee time card information into the payroll system across multiple care centers.

  • Checks figures for accuracy and necessary approvals across multiple care centers.

  • Reviews payroll documentation for accuracy and makes any necessary adjustments across multiple care centers.

  • Researches and resolves questions from managers and employees as they relate to the processing of payroll information such as WLB, VHS, EIB, banking, garnishments, employment verifications, workers compensation, retroactive pay calculations, tax questions, and other changes across multiple care centers.

  • Communicates with Corporate Payroll to ensure the integrity of the payroll data including data related to new hires, terminations, transfers and rate changes across multiple care centers.

  • Processes special payrolls including the annual bonus and year-end adjustment payrolls across multiple care centers.

Labor Management

  • Participate in daily staffing meeting in order to identify employee attendance trends, recruiting needs/vacancies, and overtime mitigation opportunities across multiple care centers.

  • Maintains the facility’s Daily Staffing Report to ensure facility is adhering to state specific guidelines across multiple care centers.

  • Reconciles attendance daily with employee timesheets against schedule and time in/time out reporting across multiple care centers.

  • Maintains running report of attendance incidents across multiple care centers.

  • Ensures hours are accurately accumulated and categorized in a format compatible with company and department payroll procedures across multiple care centers.

  • Monitors attendance and schedule adherence across multiple care centers.

  • Assists with the coordination of programs designed to improve the productivity of employees, including training, talent acquisition and performance evaluation across multiple care centers.

Recruitment and Retention

  • Assists department heads with recruitment and retention needs to include but not limited to following across multiple care centers:

  • Ensuring that all Care Center Job posting are posted.

  • Partnering with Corporate Recruiting & Creative Services in developing employment advertisement campaigns for the local market, job boards, and social media.

  • Coordinating and attending job fairs in the local market and coordinating school partnerships for clinical rotations and hiring newly graduate CNAs.

  • Reviews applications/resumes; evaluating applicant skills and making recommendations regarding applicant qualifications using ATS best practices.

  • Assists in implementing Center-sponsored recruitment and retention programs; assisting department heads in the development and implementation of programs designed to improve staff recruitment and retention.

Must possess, as a minimum, a high-school diploma, college bachelor’s degree in Human Resources, Business Administrator, or Health Care Management is preferred

PHR / SHRM – CP preferred, with goal of achieving PHR/SHRM-CP preferred within one year of accepting role.


2+ years of experience as HR/ Payroll Administration required

1+ years of experience with recruitment and retention required

Effective teamwork and interpersonal skills

Knowledge of administrative practices and procedures as well as laws, regulations and guidelines pertaining to employment, wage and hour, and labor relations, etc.

HRIS knowledge with experience with Lawson, ADP and PeopleNet
